1. Scope and Principles
2. Flights
2.2 The budget limit for flights is € 150 per person for a round trip, including one piece of standard luggage (10 kg).
2.3 If a flight takes place during a weekend, the contractor shall discuss this separately with the Altroverso Production Representative.
2.4 If flights cost more than the budget, Altroverso will discuss the difference with the contractor. Any agreed extra amount may be deducted from the contractor’s final invoice.
3. Luggage and Freight
3.1 Each person may bring up to 10 kg of carry-on luggage.
3.2 Any extra equipment or luggage beyond the carry-on limit will be shipped in advance by production through DHL or a similar courier.
3.3 If equipment is shipped by a contractor using a third-party courier identified by Altroverso, Altroverso provides the insurance. If the courier is chosen by the contractor and not agreed by Altroverso, Altroverso does not provide insurance.
3.4 If equipment is carried personally by a crew member or contractor, insurance is the responsibility of the individual or their employer.
4. Ground Transport | Departure Country
4.1 External contractors: Altroverso does not reimburse transport from home or office to the departure airport abroad. Altroverso also does not reimburse transport from the arrival airport back to the contractor’s home or office abroad.
4.2 Internal Altroverso staff: ground transport to the departure airport is covered by Altroverso.
5. Ground Transport | Arrival and Departure in the Netherlands
5.1 Upon arrival in the Netherlands, Altroverso arranges transport from the airport to the production location or hotel.
5.2 For departures from the Netherlands, Altroverso also arranges transport from the hotel or production location back to the airport.
5.3 Depending on the airport and availability, transport may be by bus, train, shuttle, private transfer, or other suitable means.
5.4 Contractors must use the transport arranged by Altroverso unless another arrangement has been approved in writing.
6. Travel by Car (EU origin to the Netherlands)
6.1 Car travel is reimbursed at the Dutch legal rate of € 0.21 per kilometer.
6.2 Distance is calculated using Google Maps, from the contractor’s office or base to the destination hotel or set, round trip.
6.3 No extra reimbursements are provided for tolls, parking, or other car-related costs, unless approved in writing by Altroverso.
7. Per Diems and Meals
7.1 Lunch allowance: € 25 if work starts before 12:00 and lunch is not provided on set.
7.2 Dinner allowance: € 25 if work continues past 18:00 and dinner is not provided on set.
7.3 Maximum per diem: € 50 per person per day.
7.4 Allowances must be invoiced by the freelancer or contractor company. Receipts are not required.
7.5 Per diems are reimbursed on the final invoice after production is completed.
8. Hotels and Overnights
8.1 Hotels provided are business-class, 3 or 4 stars, depending on availability. Leisure or holiday properties are not used.
8.2 Breakfast policy:
If checkout is after 08:00, breakfast is included.
If checkout is before 08:00, breakfast is not included.
8.3 The Altroverso Production Representative decides who is eligible for hotel stays, based on travel distance, early call times, or late wrap times.
9. Booking, Payments, and Invoicing
9.1 Flights, hotels, and main logistics are booked directly by Altroverso.
9.2 Allowances and any approved reimbursements must be invoiced by the freelancer or contractor company.
10. Insurance and Compliance
10.1 Work insurance and any other required insurance must be provided by the crew member or their employer.
10.2 Freelancers working in the Netherlands must complete the mandatory national registration prior to arrival. Altroverso HR will manage the registration process on their behalf.
11. Conduct: Alcohol, Drugs, Smoking, and Harassment
11.1 Alcohol and drugs are not allowed on set or nearby during working hours or production time.
11.2 Smoking is not allowed on set.
11.3 Altroverso has a zero-tolerance policy on harassment of any kind (including sexual, verbal, or physical). Violations will result in removal from the set and may lead to further legal or contractual action.
11.4 Any violation of these rules may result in immediate removal from the set and reporting to the contractor company.
12. Communications Costs
12.1 Altroverso does not reimburse roaming charges, international calls, or internet costs within the Netherlands.
13. Health and Safety Breaks
13.1 All crew members are entitled to regular breaks in line with Dutch Law standards.
13.2 Breaks must be planned to ensure safe and healthy working conditions, especially during physically demanding tasks or long production hours.
13.3 The Production Representative will monitor schedules to make sure crew members receive adequate rest periods.
14. Pre-Production Compliance
14.1 Before any contract is signed, the HR Department will request the full crew list and send each crew member a link for KYC (Know Your Customer) and background checks.
14.2 The Administration Department will carry out an Extended Due Diligence (EDD) review of the contractor company.
14.3 The Production Assistant will request the serial numbers of all cameras, technical equipment, and lenses. These will be checked against stolen-property and ownership registries.
14.4 For any software used on set or in post-production, contractors must provide valid license numbers. These will be verified with the official license holders.
15. Legal Framework
15.1 Only Altroverso’s terms and conditions apply to contracts between Altroverso and contractors.

16. Travel Documentation and Approvals
16.1 All travel-related activity and costs must be approved in advance by the Altroverso Production Representative.
16.2 After approval, any changes requested by crew members must be approved in writing before tickets or bookings are purchased.
17. Exceptions and Changes
17.1 Any exceptions to this policy require written approval from the Altroverso Production Representative.
17.2 Altroverso may update this policy. The version in effect on the booking date applies, unless another agreement is made in writing.
18. Definitions
18.1 Contractor: The company providing external crew or freelancers.
18.2 Crew: Individuals performing production work, including freelancers.
18.3 Internal staff: Employees directly engaged by Altroverso.
18.4 Production Representative: The designated Altroverso contact person responsible for approvals on site.
